USING FILES FOR AI
Terms of service
Last updated: 20 September 2026
These Terms of Service ("Terms") govern your use of Files for AI, including the Files connector and any desktop application we make available (the "service"), operated by Ship It! Software Limited, trading as Shipit Software ("we", "us"). Please read these Terms and our Privacy policy before creating an account. By creating an account, accessing or using the service, you agree to these Terms. If you use the service for an organization, you must have authority to act for it.
Accounts and service information
You are responsible for accurate account information, protecting your sign-in credentials and managing the people and applications you authorize. We use account and technical information to provide the service, maintain security, send necessary service communications and diagnose problems, as described in our Privacy policy.
Creating an account does not subscribe you to optional marketing communications. Any required marketing choice will be presented separately. Any fees and payment conditions for paid features will be disclosed before you purchase them.
Allowed usage
Files for AI lets you store project files and work with them through compatible AI assistants. Available desktop features may let you organize selected local folders. You must follow the service's access controls and usage limits, including storage, file-size, project and AI allowances. Do not evade limits by creating additional accounts, bypass permissions, interfere with the service or upload malicious content.
Except where permitted by applicable law or an applicable open-source license, you must not reverse-engineer, decompile or otherwise attempt to discover the source code or underlying algorithms of the service.
Your files and permissions
You retain your rights in the files and other content you provide. You grant us permission to store, process, reproduce and transmit that content as needed to operate the service and carry out the actions you authorize, including supported text extraction, search, versioning and delivery to collaborators or connected applications.
You must have the rights and permissions needed to upload, process and share your content. You are responsible for project membership, connection grants and the actions performed within the permissions you provide. Keep independent copies of important files; version history and operational backups are not a substitute for your own backup.
Connected assistants and AI features
Connecting an assistant can share file contents and related information with its provider. Read access and write access are separate permissions. Write access may allow an assistant to create files or new versions. Review the permissions and the provider's own terms and privacy policy before connecting. Revoking a connection prevents subsequent access through that connection, but cannot recall copies already received by a third party.
Review AI-generated results and proposed file changes before relying on them. Outputs may be incomplete or inaccurate. A hosted connector does not by itself provide access to folders on your computer. Local-folder access, cloud transfers and desktop AI processing are separate actions and permissions. Third-party assistant availability and compatibility may change.
Availability and limitation of liability
We work to keep the service reliable, but cannot promise uninterrupted or error-free operation, accurate AI output, or that files will never be damaged, deleted or lost. Downloads, transfers and writes may fail or remain pending; check that an operation completed before relying on it.
To the extent permitted by applicable law, the service is provided as available, without warranties beyond those required by law. To that same extent, we are not liable for loss of use, data, goodwill or profits, or indirect, incidental, special or consequential damages arising from use of the service.
Nothing in these Terms excludes, restricts or modifies any consumer guarantee, remedy or other right that cannot lawfully be excluded, including under New Zealand's Consumer Guarantees Act 1993 and Fair Trading Act 1986. The limitations above apply only to the extent the law permits.
Termination and service changes
You may stop using the service at any time. Any outstanding fees for services you purchased remain payable. Download content you need before closing your account or losing project access.
We may suspend or terminate access if you breach these Terms, fail to pay applicable fees or if required by law. We may close an account for commercial reasons with 30 days' notice. We may change or discontinue features; if we discontinue the service entirely, we will provide at least 30 days' notice, except where a legal requirement prevents that notice.
Deletion and retention are described in our Privacy policy. Removing a file or account does not guarantee immediate erasure from every operational record or backup.
Privacy policy
Our Privacy policy describes how we collect, use, share and protect information, including account information, files, browser storage and operational logs. It also explains the role of our service providers and the assistants you connect.
Copyright and sensitive information
Do not use the service to infringe intellectual property or other rights, or for unlawful activity. You are responsible for the content you provide and for complying with applicable laws.
Do not use the service to store protected health information, payment-card information or other sensitive information that requires safeguards or contractual commitments we have not agreed to provide.
Changes to these Terms
We may update these Terms as the service changes. The date above identifies the current version. We will provide notice of material changes through the service or necessary service communications. Any changes remain subject to applicable law.
